Events Rules & Regulations

Erie County Parks & Recreations sponsors many community events throughout the year. All vendors who wish to participate must fill out the following applications. Erie County Parks & Recreations staff will review all applications. Please fill out a list of items that you plan to sell if you are an arts, craft, or food vendor. Please take notice of the due dates that forms and fees are required to be turned in by. No space will be reserved until all fees and forms are received.

Booths

Basic vendor area is a 15 x 10 space only. Vendor trailers that are 8 x 16 feet will be extra. If electricity is available there is an extra $15.00 charge each 15-amp plug required. The festival has access to only 110 volts. All booths and all items displayed must be attractive. Food vendors are responsible for their own trash containers and tables. All extra equipment and merchandise must be kept out of other vendor's space and public walkways.

Operation times

All dates for outdoor events have no rain dates. Please be prepared for in climate weather. No vehicles are allowed on festival grounds during regular hours. Festival hours will be open to the vendors from 7:30 am to 9:00am to load and unload. All vendors must stay to the conclusions otherwise they will not be invited back.

Special policies

We try to limit vendors of similar items. Spaces will be allotted on a first come first serve basis. Spaces will be assigned randomly to all applicants and no one will be guaranteed space location. All exhibitors are responsible for collecting and reporting sales taxes.

Vendor Parking

There will be designated parking for all vendors. There will only be one reserved parking spot per vendor. Only vehicles displaying this permit will be permitted in unloading/loading areas.

Special requirements

Your completed application must include the following:

  • Original $1,000,000 liability and product insurance binder naming Erie County Parks & Recreation as insured.


  • If you are food vendor, a current copy of your County Health Permit. Health inspectors may be on site. If you do not have a yearly license, you will be charged. Please review all health regulations.


  • All vendors are required to clean up their assigned area on an ongoing basis. It is also their responsibility to take their trash with them at the end of the event or place it in the proper containers.

Cancellations

Cancellations letters must be received in writing no later than 45 days prior to the opening day in order to receive a refund. After that date the County of Erie retains all fees.

General Info

No discount signs allowed. The vendor's booth must be opened and staffed during all event hours. No vendor may dismantle their booth or change assigned space before closing time. No animals allowed at event. Always bring extra business cards and flyers.

Prizes

Erie County Parks & Recreation will grade your booth and displays during the festival. Please make your area as attractive as possible. Prizes will be awarded for appearance, creativity and content. 1st prize- a free 10 x 10 space at any of our future events. 2nd prize -1/2 off a 10 x 10 space at any of our future events. 3rd prize- 25% off of any 10 X10 space at any of our future events. These prizes expire after one (1) year.
